The whole service runs on Aivio — the property management platform we built in-house and develop continuously, and we believe the most advanced system of its kind in use anywhere. Landlords, tenants and contractors each work with it directly, and you will see it at work in everything that follows.

Comprehensive property management services

Our tailored service covers all key aspects of effective property management:

  • Maintenance and Repairs — We manage all landlord repair and maintenance matters efficiently, ensuring high service standards and regularly reviewing contracts to deliver best value. Tenants report repairs through Aivio at any hour, with photographs, and every job is tracked from report to completion — contractors are instructed, chased and signed off in the same system, so nothing sits forgotten in an inbox.
  • Rent Collection and Financial Management — Our diligent processes help minimise arrears and maintain steady cash flow. Rent demands are raised in Aivio and issued in advance, reminders follow automatically at set intervals, and every receipt is reconciled against the bank — so the arrears position you see is the real one, and clear financial reporting is provided at a frequency to suit your needs.
  • Commercial Service Charge Management — For commercial properties, we offer a full service charge management solution, including annual budgeting, collection, accounting, financial reporting, and managing service providers. Aivio tracks expenditure against budget through the year and projects the position to year end, and the year-end statement is produced from actual reconciled figures. All aspects are handled in strict accordance with RICS regulations. This has a page of its own.
  • Health & Safety Compliance — We take full responsibility for ensuring properties remain compliant with all relevant Health & Safety legislation. Every certificate — Fire Risk Assessment, Gas, Electrical and the rest — is logged in Aivio with its expiry date, and renewal work is raised before a certificate lapses rather than after, so statutory obligations are met by design rather than by memory.
  • Regular Property Inspections — Our property managers conduct routine site visits to monitor condition, ensure compliance, and promote tenant satisfaction. Inspections are recorded in Aivio on site, with photographs, and anything flagged becomes a repair job directly from the report — the finding and the fix are the same record.
  • Tenant Liaison and Dispute Resolution — Acting as the primary point of contact, we foster positive landlord-tenant relationships and resolve issues quickly and professionally. Tenants have their own Aivio sign-in for statements and demands, and correspondence is linked to the property record, so whoever picks up the thread has the whole history in front of them.

Why our own platform matters. Nothing about how we manage your property is constrained by somebody else’s software — when the work needs Aivio to do something new, we build it. And everything lives in one place: the lease, the demands, the repairs, the certificates, the inspections and the correspondence — one record per property, visible to the people managing it.

What that looks like in practice:

  • Supplier invoices are read by the platform and drafted into the ledger for a person to approve — typed in by nobody, posted by no machine.
  • A demand shows as paid when the money is matched to the bank statement, not when somebody remembers to mark it — so the arrears position you see is anchored to the bank, to the penny.
  • A closed statement is frozen for ever: the copy reissued in three years is identical to the one first sent, because history is never quietly rebuilt.
  • Anyone at a property can report a repair or an accident from their phone through a link on the noticeboard — no account, no app, no login.
  • Contractors with open jobs are chased automatically every Monday until the work is done and the paperwork is in.
  • Every lease’s critical dates — rent reviews, renewals, break options — sit in a diary the platform watches daily, so nothing statutory arrives as a surprise.
  • And nothing leaves the system by itself: a person raises every demand and a person approves it, because software should do the work, not the judgement.

Everything else, in house. Rent reviews, lease renewals and lease consultancy are separate instructions rather than part of the management fee — but they are handled by our own surveyors, who already hold the lease, the correspondence and the history of the building. Nothing is referred out, nothing has to be explained twice, and management clients are charged at preferential rates.

And they sit in the same office. When a gutter needs relining or a wall needs repair, the manager can turn to the building surveyor who would specify the work and settle it between them — what is actually wrong, what the repair should be, and whether it is worth doing once properly. That happens before a contractor is appointed, not after three quotes have come back for the wrong job.
